Payable Clerk Job Type: Part Time
Department: Finance Closing
Definition: Under the supervision of the
Director of Finance, performs accounting work and record keeping of financial
transactions. Verifies, enters and
monitors transaction details using a computerized financial system.
Duties: Reviews requests for payment for
accuracy, inputs check requests, prints checks.
Performs calculating, posting and verifying duties in processing
financial data in the Town’s accounts payable system. Prepares and reviews invoices and related
information for proper account coding, mathematical accuracy, vendor
designation, correct prices and discounts, authorized signatures and related
information. Analyzes accounts payable
reports; assures accuracy of payables to prevent overpayments; communicates
with vendors; communicates with departmental staff to resolve accounts payable
Duties: Prepares and distributes annual 1099 forms for
tax purposes; maintains fixed asset inventory for the Town. Assists outside auditor as requested;
prepares supporting data for annual financial audit, as needed. Sets up and maintains office files as needed;
prepares reports, correspondence, and performs other related work as assigned.
By: Receives general supervision from the
Director of Finance with additional supervision provided by the Assistant
Director of Finance.
Profile: The skills and knowledge required would
generally be acquired with a high school education and one to two years of
office experience involving account-keeping functions or other financial work
or equivalent combination of both. Those
working toward accounting related degrees may be able to substitute educational
experience for work experience. Working
knowledge of accounts payable principles and practices. Working knowledge of financial report and record
keeping. Ability to enter numerical data
into a computerized financial system with accuracy. Ability to tactfully and courteously deal and
maintain good working relationships with others.
of Work: Part-Time, between 10-15 hours per week,
flexible during Town Hall operational hours.

Physical Considerations: Must be able to sit at a desk and
work continuously for extended periods of time, utilizing assigned office
equipment; walk, stand, stoop, kneel, crouch; files letters, correspondence,
reports, etc.; carries boxes of files.
